Residents, vehicles and visitor passes

The allow-list of a Hayat Gate site — residents, employees, tenants, staff and fleet as members, their vehicles with sticker numbers, valid dates, gates and time windows, importing a list, approving vehicles added by residents; the residents' portal with phone sign-in; and visitor passes with a QR code sent by SMS or WhatsApp, single or multiple entry, checked in by QR or plate.

A car opens the barrier by itself only if Hayat knows it: a registered vehicle, a monthly pass or a valid visitor pass. This page covers the first and the last; monthly passes are on their own page. You need Set up sites… (gate.manage) to change the lists; guards with Guards: … (gate.operate) can create visitor passes.

Members

A member is a person who belongs to the site: a resident, an employee, a tenant, staff or a fleet driver. On the site, Members → + Add member:

Search members by name or unit, or by the exact phone or CNIC number.

Vehicles

On the site, Vehicles → + Add vehicle:

  1. Plate: type it as written, LEA-1234, LEA 1234 or lea1234 — Hayat stores it the same way. Bike plates like KHI-12-1234 work too.
  2. Member (optional): link it to the member, or type the Owner name and Unit.
  3. Make, Model, Colour (Suzuki Cultus, white) — guards use them to double-check.
  4. Vehicle class: Car, Bike or Commercial (paid-parking tariffs use it).
  5. Sticker no. / Tag no.: the society sticker or RFID tag, if you use them.
  6. Valid from / Valid to: leave empty for no end date; set an end for a tenant's lease or a contractor.
  7. Gates: leave empty for all gates, or pick the gates this car may use.
  8. Time windows: leave empty for any time, or add days and hours, e.g. Mon–Sat 07:00–20:00 for staff. Overnight windows (22:00–06:00) work.
  9. Save.

Import adds many vehicles at once (up to 2,000 per file); a plate already on the list is updated, not doubled. Errors are listed by row. Deactivate stops a car without deleting its history.

Waiting for approval: vehicles a resident added in the portal show with Pending. Check the plate against the registration book and click Approve.

The residents' portal

When Residents' portal is ticked on the site, residents sign in on their phone with their mobile number and a code by SMS — no password. They can:

  • see their own vehicles and add a vehicle (it waits for your approval, if the site allows it);
  • invite visitors — make a visitor pass and send it by SMS or WhatsApp (if the site allows it, up to the site's longest pass in hours);
  • see the log of their own vehicles and their visitors (time, gate, in or out) — without photos.

Share the portal link printed on the site page in your society's WhatsApp group or on the notice board. A number that is not a member gets no code.

Visitor passes

A visitor pass lets a guest in for a time window. Visitor passes → + New pass:

  1. Host: pick the member (or type the host's name and unit).
  2. Visitor name, Visitor phone and, if you need it, Visitor CNIC (encrypted).
  3. Plate: if you know the car, type it — then the barrier opens by itself. Leave it empty for a guest arriving by Careem or on foot; the guard checks the QR.
  4. Valid from / Valid to: e.g. today 6 pm to 11 pm. The pass works from 30 minutes before the start.
  5. Single entry (used up on the first entry) or Multiple entries with a Max entries (a maid or driver for a week).
  6. Purpose (dinner, delivery, plumber) and, if needed, the Gates allowed.
  7. Send by SMS or WhatsApp — the visitor gets a link to a page with the QR code, the address and the time window. Save.

The pass gets a number (GVP-…). Send sends it again; Cancel stops it at once.

Checking a visitor in

  • With the plate on the pass: the camera reads it and the barrier opens. The pass shows Checked in with the time.
  • Without a plate, or a different car: the guard scans the visitor's QR on the guard screen (or types the pass number), chooses the lane and checks in — with Open barrier if needed. The car's plate is recorded on the pass.
  • An expired, used or cancelled pass is refused with the reason, e.g. Pass expired.

Passes past their end time turn Expired by themselves.

Exits

A car inside may always leave unless it is blacklisted with Deny or owes parking fees. So you do not need to register visitors for the exit lane.
