Booking and buyer files

hayaterp.com ↗

Book a plot or an open (unballoted) file in Hayat Land — joint owners with shares, nominee, dealer and payment plan; the installment schedule, raising dues, late-payment surcharge and waivers, receipts by cash, cheque, bank or JazzCash / Easypaisa, file statements, pay-online links, the buyer's page and reminders; dealers, their commission, statements and payments.

A file is the buyer's account for one plot — or for a plot still to be balloted (an open file). It holds the owners, the price, the payment plan and every due and receipt. Booking, receipts and dealers need land.sales; owner corrections, discount approval and surcharge waivers need land.manage.

Book a file

  1. Start a new booking and choose the project.
  2. Choose the plot — or, for an open file, the category and size (e.g. Residential, 5 Marla); the plot comes later from the ballot.
  3. Choose the payment plan. The price comes from the price list and premiums; land.manage users may type another base price.
  4. Add the owners: name, father's name, CNIC, phone, email, address and share %. Joint owners' shares add up to 100 %; mark one as primary (statements and receipts go in their name).
  5. Optional: nominee (name, relation, CNIC), membership no., a file number of your own (otherwise the next number, e.g. GC-0042), discount with a reason, the dealer and their commission %.
  6. Save. The file shows the full schedule of dues and the plot becomes Booked.

If the discount is above the approval limit in the settings, the file shows discount pending until someone with land.manage approves or rejects it.

Search files by file or membership number, owner's name, or the exact CNIC or phone (they are stored encrypted, so partial numbers do not match). Filters: project, status, dealer, overdue only, unballoted only.

Correcting an owner (a spelling, a wrong CNIC) is not a transfer: land.manage can correct the owners with a reason, and the change is logged. To sell the file to someone else use a transfer.

Dues, raising and the schedule

Each line of the plan becomes a due with its date and amount. Dues are billed (a Sales invoice in the primary owner's name) by themselves a few days before their date (invoice ahead, 7 days by default). You can also raise dues now up to a date, e.g. when a buyer wants to pay six installments in advance.

On balloting and on possession dues have no date until that event happens; they show on event.

Each due has a status: upcoming, due, part paid, paid, overdue (with days overdue) or cancelled.

Late-payment surcharge

When a due is late past the plan's grace days, surcharge builds up on it every day (percent per month) or once (fixed), up to the plan's cap. The statement shows the surcharge pending per due. It is billed once a month per file by itself, or at once with bill surcharge on the file.

Waive surcharge on a due (all or part of what is pending) with a reason — land.manage only. Surcharge already billed is not waived this way; credit the invoice in Sales.

Receipts

Take a payment on the file: amount, method — Cash, Card, JazzCash, Easypaisa, Raast, Bank transfer, Cheque or Pay order — the reference (required for card, cheque and transfer: last digits, cheque number, bank reference), date and note. Hayat records a Sales receipt (RV-…) and settles the oldest billed dues first. Anything paid above the billed dues stays as the buyer's advance and settles the next dues when they are billed. Print or send the receipt like any Sales receipt.

Payments made through the buyer's page or a pay link are recorded the same way, marked online.

Statements and the buyer's page

The file statement shows the plot, owners, price, premium, discount, development charges, every due with paid / balance / status, every receipt and the totals: total, paid, due to date, overdue, surcharge pending, balance and the next due. Print it, or open the printable version to save as PDF.

  • Pay link — a payment link for what is due now (or an amount you type). It is valid 72 hours; while it is open, the same link is reused.
  • Buyer's page — the file's private link on my.hayaterp.com: statement, pay online, allotment letter check. New link stops the old one (e.g. when a file is transferred).
  • Reminders — with the Hayat Land installment due reminder switched on in Marketing → Reminders, buyers get an SMS / WhatsApp a few days before each due (3 by default) with their statement link, and weekly while overdue.

The defaulters list and collection forecast show who owes what across a project.

Dealers and commission

Add each dealer or agent: name, agency, phone, CNIC, address and commission % (0–50). On a booking, choose the dealer; the commission is booked as an expense and a payable to the dealer at once.

  • The dealer statement for a period lists their files, net price, commission earned, payments made and the balance owed.
  • Pay the dealer an amount up to that balance (method, reference); it is numbered LDP-….
  • The dealer of a file can be changed only until the commission is booked.
  • Sales by dealer on the reports compares dealers.
