Rentals
hayaterp.com ↗Manage rented property in Hayat Land — buildings, plazas and houses with their flats, shops and offices; tenants; rent agreements with security deposit, advance months, yearly increase, due day and late fee; the monthly rent run, receipts, arrears and SMS / WhatsApp reminders; renewals and terminations with deposit deductions; maintenance requests; and statements for the owners you manage property for.
Rentals work for your own property and for property you manage for other owners (with a management fee). Rent is billed through normal Sales invoices in the tenant's name, so tenants' balances, receipts and ageing are the usual Hayat ones. Everything here needs land.rentals (plus land.view).
1. Properties and units
A property is one building, plaza, house, warehouse or piece of land: code, name, kind, address and city. For property you manage for someone else, tick third-party owner and fill the owner's name, phone and CNIC and the management fee %.
On the property, add its units: number (Flat 3-B, Shop G-12), kind (Flat, Shop, Office, House, Warehouse, Other), floor, area and market rent. A unit is Vacant, Let (set by an agreement) or under Maintenance. The property page shows each unit with its current agreement and the occupancy %.
2. Tenants
Add each tenant once: a person (name, father's name, CNIC, phone, email, address) or a company (name, contact person, NTN, phone). Find them by name, or by exact CNIC or phone.
3. Agreements
- New agreement: choose the unit and tenant, the start and end dates and the monthly rent.
- Yearly increase: e.g. 10 % every 12 months.
- Due day of the month (1–28), security deposit, advance months (rent paid in advance at the start).
- Late fee: none, a fixed amount or a percent of the rent, after grace days.
- Utilities included or separate (with a note, e.g. electricity on sub-meter). Save — it is a draft and can still be changed.
- Activate it: it is numbered (
LRA-…), the unit becomes Let, and the advance months and any rent already due are billed. - Record the deposit received (method, reference). It is held as a liability, not income.
Upload the signed agreement and the tenant's CNIC copy as documents.
The rent run
Rent invoices are made by themselves every few hours for each active agreement as its due day comes (or the number of days earlier set in rent invoice ahead): part months are charged pro rata, and the yearly increase is applied when it falls due. Each month is billed once, however often the run happens.
You can also run rent now — for every agreement or just one — for a date you choose.
Late fees are added once per rent invoice when it is unpaid after the grace days. Other charges — a utility bill, a repair recharge — can be added to an agreement with a label, amount and due date.
Receipts, arrears and reminders
- Take rent: amount, method (cash, card, JazzCash, Easypaisa, Raast, bank transfer, cheque), reference. It settles the oldest invoices first.
- Pay link and tenant's page: send the tenant a payment link, or the private page on my.hayaterp.com with the rent statement, pay online and a maintenance request form (up to 5 open requests from the page). New link stops the old one.
- Reminders: send an SMS or WhatsApp now to every tenant overdue by at least N days (one property or all). With the Hayat Land rent due reminder on in Marketing → Reminders, tenants are reminded before each due date too.
- Arrears ageing and the rent roll on the reports show who owes what, in 1–30 / 31–60 / 61–90 / 90+ day buckets.
Renewal and termination
Renew an agreement with the new end date; the rent defaults to the current increased rent (change it if agreed), and the deposit held moves to the new agreement. The old one is marked Renewed.
Terminate with the date and reason:
- Add deductions from the deposit (e.g. paint 15,000, broken door 8,000).
- Choose whether to apply the deposit to arrears (unpaid rent).
- The rest is refunded — choose the method and reference.
- Rent not yet billed after the end date is dropped; the unit becomes Vacant.
Agreements ending within 30 days (setting) are listed on the expiring agreements report and the rental managers get a reminder. Agreements past their end date without renewal become Expired by themselves.
Maintenance
A maintenance request comes from the tenant's page or is added by staff: property, unit, title, description and priority (low, normal, high, urgent). Move it through Open → Assigned → In progress → Done (or Cancelled), with who it is assigned to.
When the work is done, record the cost and who pays it:
| Paid by | In the accounts |
|---|---|
| Company | Property maintenance expense |
| Owner (third-party property) | Taken from the rent owed to the owner |
| Tenant | Billed to the tenant as a maintenance charge (tick charge tenant) |
Owner statements
For a third-party property, make an owner statement for a period (e.g. a month or a quarter): rent invoiced, rent collected, owner-paid maintenance, the management fee and the net payable to the owner.
- Make the statement for the period — it starts as a draft; check it.
- Finalise it: the management fee is booked as your income.
- Pay the owner (method, reference). Print the statement for them.
